The Opportunity

We're seeking a detail-oriented and highly organized Project Assistant to serve as a key partner to our Project Manager. This role is centered on providing direct project management support , ensuring projects stay on schedule and fully documented from start to finish. The Project Assistant will play an integral part in tracking progress, preparing reports, coordinating stakeholders, and supporting decision-making to keep each project moving forward with efficiency and accuracy.

Your Responsibilities

• Answers and direct phone calls, provide information, and record service requests.
• Utilize computer applications for database management, word processing, and project planning.
• Maintain and update databases, records, and documentation.
• Organize and manage filing systems.
• Operate and manage office equipment, arranging repairs as needed.
• Greet visitors and direct them appropriately.
• Maintain scheduling, event calendars, and project tracking sheets.
• Track key performance indicators (KPIs) to ensure quality control.
• Monitor and confirm order deliveries and corrective maintenance tasks.
• Support safety programs, report incidents, track OSHA training, and participate in training sessions.
• Ensure safety equipment is up to date and replace expired items.
• Assign and track safety-related tasks, tools, and PPE compliance.
• Develop standardized procedures to enhance efficiency.
• Schedule and confirm appointments for clients and management.
• Enter and verify data to ensure accuracy.
• Manage automotive fleet operations, including maintenance coordination.
• Prepare and review licensing applications for accuracy.
• Update project control drawings based on field redlines.
• Obtain quotes from vendors for subcontracting and materials.
• Support inventory management and shipping and receiving activities

Qualifications

• Associate's degree or equivalent from a two-year college or technical school, or
• Six months to one year of relevant experience/training, or
• Equivalent combination of education and experience.
